June Care Task #2: Update your email display name and signature

Hi there,

It's common to set your display name and signature when you originally create an email account and then to never think about either of these things again.

It may have been ages since you looked at them. These little details do make a difference, though, since they're seen so frequently.

This week, we'll do a quick refresh. If you've had a name change, taken on a new role, lost/gained a credential, or changed your contact info, you'll want to be especially sure to have a peek at your current set up.

Small tweaks to your signature and display name can help your emails feel more personal and makes them more helpful as well.

💌 June Care Task #2:

  1. Log into your business email account and review your display name. The display name is what shows up in the "From" line when you send an email. If you're not sure what yours is, send a test email to a different email address and notice what shows up in the "sender" area.

  2. Make any updates to the name.

    • Use your first and last names so that people can easily recognize and remember you

    • If you like, you can add your business name: Camille Freeman | Bloom and Grow

      • This is a stylistic/personal choice. If your name or your business name are long, the end may get cut off in some email clients.

      • For most small businesses offering 1:1 clinical services, I'd use your name rather than your business name if there is only room for one.

    • Avoid all caps or all lowercase to make your display name easy to read

  3. Next, review your email signature and make any updates needed. Here's what to check:

    • Your name and credentials

      • Check that credentials are still relevant. Add/remove as needed.

      • Add or update your pronouns if you wish to share them

    • Professional title and business name, or a phrase about what you do. For example:

      • Herbalist and Nutritionist | Bloom & Grow Nutrition, or

      • Herbal and nutrition support for people who are trying to conceive

    • Contact info: phone, website, and/or office address

      • Check all of these to make sure links are working, phone numbers are correct, etc. They already have your email address, so you don't need to repeat that here.

    • One or more relevant links (optional)

      • Limit to 1-3 links in most cases. You can rotate these as needed.

      • Use descriptive text as an anchor rather than raw urls. (Write "Schedule an appointment" rather than "Schedule an appointment here: https://p.bttr.to/3meyJdB" )

      • Ideas: Newsletter signup, online booking/scheduling, website/blog, social media (pick 1–2 active accounts), recent publication or book, professional directory/profile, upcoming class or workshop

  4. Send a test email to a 2nd email address or to a friend and review changes to your display name and email signature. Ideally have a look using a mobile device, a tablet, and a desktop or laptop.
