June Care Task #1: Reach out to clients who've fallen off the radar

Hi there,

I'm sure you've heard the saying that it's easier to keep working with clients you already have rather than finding new clients.

One way to encourage clients to schedule follow-ups is to periodically contact folks who've fallen off the radar.

If you peek at your client list, you'll probably see at least a few names that jump out at you. Taking the initiative to reach out can remind people that you're available to help, and if nothing else, demonstrates that you've been thinking about them and care how they're doing. That alone can be quite meaningful for many people.

Your business care task this week is to check in with at least a handful of clients who you haven't heard from in a while.

Don't feel pressured to reach out to every single one - just three or four check-in messages can go a long way.

Warmly,

Camille

💌 June Care Task #1:

  1. Review your records & make a list of clients to contact: Look through your EMR, your calendar, or your datebook, and make a list of a list of clients who you haven't heard from in 3-12 months. Use whichever time frame feels appropriate for your practice.

  2. Contact folks on your list, either by sending individual messages or sending a larger group message. If it's too overwhelming to try to reach everyone, just pick a small handful of folks to contact. I've included suggested text for messages below, but feel free to get creative. This isn't a sales pitch - just a genuine check-in message.

  3. Make a note in the chart/file of each person you contact so that you can keep track.

Yay! You did it. Leave a comment letting me know how it went to receive some gold stars.

🌟 Extra Suggestions 🌟

  • Suggested text if you're reaching out individually:

    • Hi, [Name]. I was just thinking about you and wanted to reach out to say hello. I hope all is well! [Add comment relevant to your work together: like, Hope you had a great time on your trip to Florida.] Warmly, [your name]

  • Suggested text if you're reaching out to a group (be sure to BCC or use the broadcast feature in your practice management system):

    • Hi there,

I'm sending this message to folks I haven’t heard from you in [6 months or so]. I thought I'd touch base to say hello and see how you're doing. There's no pressure to reply, of course, and I'd love to hear how you've been if you have a moment. If you’re feeling like it’s time for a fresh start or to change out your herbs, I have appointments open this [week/month]. Feel free to schedule here: [add link]

      Take care,
      [Your Name]
